Lot Numbers or Serial Numbers? Choose Traceability for Undercarriage Spares

A part number tells a storekeeper what kind of item is on the shelf. It does not necessarily tell which production batch supplied it or which individual piece was installed on a machine. That difference becomes visible when a concern appears after receiving: one identifier may narrow the affected population to a batch, while another can follow a single component from receipt through installation and removal.

For a batch concern, the useful question is where parts from that batch went. For the history of one removed roller, it is which individual unit occupied which position. Lot and serial tracking can serve those questions together; the choice is how much identity the shop needs to preserve through receiving, issue and service.

Three labels can answer three different questions

The three identifiers overlap on a receiving record, but each operates at a different level: type, source group and individual unit.

A part number identifies the type. The service part number identifies a type of item under a particular parts system. It helps answer, “What is this supposed to be?” Multiple physical items can share the same part number. A part-number match alone does not show that they arrived together, came from the same production run or are interchangeable for every machine configuration.

A lot number identifies a source group. A lot or batch number groups items under a defined source identity. The meaning of the group depends on the supplier's system: it might relate to a production batch, heat, coating run, packaging batch or another controlled boundary. Lot traceability helps answer, “Which other items share this recorded source group?” It does not identify one physical bolt after that bolt has been mixed with identical loose stock and its lot relationship has been discarded.

A serial number identifies an individual. A serial number distinguishes an individual item within the issuing system. It can support a record of receipt, transfer, installation, inspection and removal for that one unit. Serial identity is valuable only if the label remains readable and every transaction preserves the relationship. Printing a serial number and never recording it at installation provides less traceability than a well-maintained lot record.

A lot code such as ‘L24’ needs the identity of its issuer. The same characters on packages from two suppliers need not describe the same group. Keep the original supplier code when assigning an internal receipt number, and link the two. The same applies to serial numbers: a shop's asset label and the manufacturer's serial can both identify the roller in different systems, but one should not silently replace the other.

Follow one batch and one serialized item through the shop

Their practical difference appears after receiving, when stock is split, transferred, installed and eventually investigated. A fastener batch and an individually marked roller illustrate the two paths.

A batch of fasteners splits into several locations

Imagine a shipment of undercarriage fasteners. The service part number identifies the specified fastener type, and the supplier lot on the package identifies the received batch. At receiving, the store records both, checks the package and quantity under its process, and assigns storage locations without dropping the lot field.

Later, the package is split. Some fasteners go to a field service vehicle, some remain in the main store and some are issued to a planned repair. This split is the moment lot traceability commonly fails. If the smaller containers carry only the service part number, every item remains identifiable by type but its source group has been lost. A usable record carries the supplier lot or a linked internal split-lot identity into each new container and transaction.

At installation, the organization has choices. It may record that fasteners from a particular lot were issued to a machine and work order. If individual fasteners are not practically distinguishable after installation, the record can still connect that repair to the source lot. The precision should be stated honestly: “lot issued to work order” is different from proof that every item in the issued quantity was installed at a recorded position.

One roller carries its own history

Now consider a serialized roller. Receiving captures the service part number, supplier identity and the unique serial on the component. A transfer record follows that serial to the branch or service truck. The work order records the same serial at a specific machine side and position. When the roller is inspected or removed, the history attaches to that unit rather than to every roller sharing the part number.

That roller can also belong to a supplier lot. The serial number answers which unit was removed; the linked lot answers which other units share its recorded source group. Keeping both allows a unit-level service finding to be traced back to a batch without pretending the finding applies to every member. Neither form of traceability cancels the other.

The serialized record can still break. If dirt makes the serial unreadable, the roller is swapped between positions without a transaction, or a technician records the carton label instead of the component label, the database may describe a different physical object from the one on the machine. Periodic verification and photographs of the installed identity can matter more than adding another database field.

For undercarriage spares, the corresponding question is whether a removed unit can be traced to its source group after transfers and installation. The examples here assume the stated identifiers are available; actual markings must be checked on the supplied components and packages.

Choose granularity from the consequence of losing identity

Batch tracking often suits high-quantity items where the meaningful source question concerns a group and individual marking would be difficult to maintain. For track shoe bolts and nuts, the buyer should ask what identifier is actually present on the supplied item or package and decide whether the shop can preserve it after the package is split.

Individual serial tracking becomes more attractive when each unit has significant value, its installed position matters, its service history may affect decisions, or mixing it with neighbouring units would make a later investigation materially harder. A roller, idler or another component may justify that granularity if it actually bears a stable unique identifier and the organization can capture it throughout service.

Consider the search following a supplier notice about one lot. A batch record may be enough to locate the remaining fasteners and the work orders that received them. For a roller moved between machines, however, the work-order link alone may leave its present position unknown. A maintained individual history closes that gap. Choose the additional detail because it changes which physical items can be found, rather than because a serial-number field is available in the software.

More granular tracking also creates cost and failure opportunities. Serializing every low-cost item can produce long transactions, transcription errors and unreadable labels without improving the action the shop would take. Conversely, using one broad internal lot for receipts from several supplier lots destroys useful source separation. The appropriate level is the narrowest identity the organization needs and can preserve reliably.

Trace a suspect item without condemning everything nearby

When a concern is reported, begin with the suspect item's actual identity and evidence. Confirm the service part number, supplier and internal IDs, receipt record, package or component marking, and installation transaction. Then follow explicit links outward: other stock from the same supplier lot, other splits derived from that lot, or the history of the same serial number.

Proximity is not identity. Parts stored in the same bin may come from different lots. Parts from one lot may be distributed across several branches and machines. Two rollers beside each other on a frame may share a part number but not a production batch. The record has to establish the relationship before the scope expands.

A supplier notice that names a lot defines a source population for investigation. It does not prove that every item in that population is defective. The organization may quarantine, inspect or otherwise control the population according to the actual notice and its procedures, but the traceability result should be worded carefully: the records show which items may share the identified source, not the condition of every item.

The reverse limitation matters too. Failing to find a lot in the records does not prove the organization never received it if historical transactions were incomplete. Report the search boundary: locations checked, date range, identifiers queried and missing records. That makes the conclusion auditable and tells the decision-maker where uncertainty remains.

An unused fastener returned from the field vehicle makes a practical test of the system. With its original lot relationship intact, it can return to identified stock and remain searchable if that batch is questioned. Without that relationship, its part number may still identify the type, but placing it in a labelled lot bin would invent a source history. Preserve the unknown status until the shop's process resolves it. The tracking choice has succeeded only when it survives that ordinary movement of a real part.
