Reading an Undercarriage Inspection Report Before Buying a Used Excavator

“Lower rollers: 65% remaining” looks like an answer to a buyer's condition question. Without the measurement sheet, however, it leaves several possibilities open: an average across both sides, a result from selected positions, or a visual estimate under the seller's grading system. The first task in reading an undercarriage report is to establish which of those statements the number actually represents.
Read the report as a dated inspection of a defined scope. It can support a purchase decision when its findings belong to the correct machine and can be traced to observations or applicable measurements. A seller's summary such as “good undercarriage” is a conclusion to examine, not a substitute for those findings. The distinction matters most when the file looks complete at first glance but contains little detail behind the headline grade.
Establish the machine, date and scope of the inspection
Start with the serial identity on the report and the machine's readable identification plate. A stock number is useful within a seller's inventory, but it should be linked to the manufacturer's machine identity. A report for the same model is not enough. Even a report for the correct serial number may describe an earlier undercarriage configuration if parts or assemblies have since been changed.
The inspection date supplies the next boundary. Compare it with the date of the photographs, the recorded meter reading and the machine's subsequent use. A machine inspected before another work assignment has accumulated exposure that the report does not describe. Ask whether it has travelled, worked, been repaired or had undercarriage parts exchanged since the inspection. There is no universal expiry period that makes every report valid or invalid; the intervening events determine what needs updating.
Also establish who performed the inspection and what they were engaged to examine. An inspection by the seller, a manufacturer's checklist completed by a third party, and a separately commissioned independent report are different things. A manufacturer's logo on an empty form does not identify the person who examined the machine. Likewise, a sales page naming an inspection company does not establish that the company inspected this particular excavator.
Look for the inspector's name or organization, the completed report reference, the stated method and exclusions. A visual walk-around should not be read as an internal inspection. Measurements made at selected accessible points do not cover every hidden interface. Where access was restricted, the report should say so. “Not inspected” is useful information because it defines the boundary of the purchase evidence.
Recover the measurement behind each percentage
Before comparing percentage figures, find out what each one means. A percentage may express wear consumed, dimensional allowance remaining, or a seller's own grading convention. Those descriptions are not interchangeable. The heading, legend and calculation basis should make the direction of the scale clear.
For a measured component, follow the figure back through five connected pieces of information: the named feature, its position on the machine, the raw reading and unit, the unworn reference, and the applicable limit or conversion curve. This is not a demand for every report to use one layout. It is a way to check that a number can be interpreted outside the seller's summary.
The distinction between dimensions and time is especially important. The Komatsu undercarriage procedure manual explains why wear depth and service hours need not progress in direct proportion. A dimensional percentage therefore cannot be converted into remaining hours by subtraction alone. When a report offers an hours-left forecast, it needs its own measurement history, wear relationship and assumptions about future use.
What an incomplete row actually tells you
Take that fictional “65% remaining” entry with no side designation, position list or raw measurement. Its meaning changes with the method behind it:
- An average across positions can conceal a more worn roller. The individual results show whether the average fairly represents the condition the buyer will inherit.
- A result from selected rollers leaves the other positions unmeasured. The report needs to identify the included positions before the buyer can judge the coverage.
- A visual grade expresses the inspector's grading method. It should not be read as a calculated dimensional percentage without the measurements and reference supporting that calculation.
The useful follow-up is specific: which rollers were included, what feature was measured, what were the readings, and how were they converted? Asking for “a better report” is less effective because the seller may simply restate the same conclusion in a cleaner document.
Now consider a different entry: a named right-side roller position has a recorded measurement, units and an applicable reference, while its neighbour is marked “not accessible.” The first row may support a defined condition assessment; the second remains an inspection gap. They should not be averaged into a single favourable score. Neither should the unmeasured neighbour inherit the measured roller's result merely because they appear beside each other.
Blank cells deserve the same treatment. They might mean not measured, not applicable, unreadable or accidentally omitted. Obtain the intended meaning rather than interpreting an empty defect box as “no defect.” A proper correction identifies the missing observation; filling the space with a generic tick does not recover it.
Read across positions, then check the physical machine
Once the individual rows make sense, compare the undercarriage as a system. Look along each side and then across corresponding positions. Does the report describe the left side in detail while summarizing the right? Are front and rear positions identified consistently? Does one row use a different unit or a reference belonging to another component?
Some differences are legitimate. Components may have been replaced at different times, and equivalent positions can experience different conditions. The purpose of comparison is to find an explanation for the difference, not to diagnose a fault from an uneven column of numbers. An isolated replacement can explain a comparatively unworn roller without establishing the condition of its neighbours.
Photographs help connect the report to the physical arrangement. A wide view establishes the side and component position; a closer view can show a marking, a worn surface, leakage or visible damage. A close-up alone may be impossible to place. Conversely, an overall view may hide the surface on which a measurement depends. The two scales answer different questions and are most useful when their locations agree with the report.
During a qualified pre-purchase inspection, material findings should be cross-checked where safe access and the applicable procedure permit. This may involve confirming the installed identity, observing the reported condition or repeating an important measurement by a defined method. It does not mean asking a buyer to crawl beneath unsupported equipment, reach into the track path or operate a tensioning system to fill a missing cell.
Where the physical machine contradicts the report, keep the discrepancy narrow and explicit. A photograph showing a different roller arrangement calls the configuration record into question. Fresh leakage at a location previously described as dry calls for an updated observation. Neither discrepancy automatically invalidates every other section, but both affect how confidently the original conclusion can be used.
Put repair history beside current condition
An invoice for replacement parts can explain why an inspection shows mixed wear. It establishes a transaction; an installation record connects that transaction to the machine, side and date. The present inspection establishes what condition can now be observed. Those records are strongest when they agree, because each supplies information the others lack.
“Undercarriage replaced” is too broad to interpret without the scope. It might refer to tracks alone, selected rollers, one side or a more extensive rebuild. Find the actual items and positions. A receipt for several track rollers should not be expanded into a claim that the idlers, sprockets and complete track system were renewed as well.

The hour record also needs an identified starting point. Machine hours at the time of inspection are not necessarily hours on a replacement component. A component transferred from another machine may have a service history that predates its current installation. If that earlier history is missing, describe the known interval instead of inventing a total.
A repair invoice does not guarantee the remaining condition, and the absence of an invoice does not itself prove that no repair occurred. The purchase question is what can be established now and what remains uncertain. A readable installed part marking and a current inspection may resolve identity or condition even when earlier paperwork is incomplete; they cannot recreate unknown prior service hours.
Turn material gaps into purchase questions
By the end of the review, separate issues that change the undercarriage assessment from omissions that merely make the file less tidy. Missing the measurement behind a wear conclusion is material. So is an unresolved machine identity or a report that predates substantial subsequent use. A different filename convention is unlikely to matter if the images can already be linked reliably to their positions.
Useful questions have a defined answer:
- “Does the right-side percentage include every lower roller, or only the positions listed on the measurement sheet?”
- “Which new reference and service limit were used for this measured feature?”
- “What work occurred between the inspection date and the present meter reading?”
- “Does the replacement invoice cover both sides, and where is the installation scope recorded?”
An existing measurement sheet may answer the first two questions without another inspection. Work orders may explain what happened after the report date. Where a material physical condition remains unexamined, further qualified inspection is the missing evidence. The buyer can then judge that particular uncertainty instead of treating the whole report as either trustworthy or worthless.
